Monday to Friday, - 9:00 am - 5:00 pm
Responsibilities
  • Actively contribute to the improvement of our team processes using technology (including AI) and automation.
  • Actively contribute to answer queries and filter emails on the team mailbox.
  • Be responsible to keep our GSite/Sharepoint Site up to date with latest/relevant information.
    • Virtual Sessions:
      • Administration of virtual sessions including all related preparation steps before, during and after the sessions
      • Attendance of session rehearsals and preparation calls as needed
      • Production of virtual sessions together with CMs (if required)
      • Participant management tasks such as:
        • Follow up on nomination status
        • Follow up on consolidation tasks (with Content Manager)
        • Coordinate change requests
        • Create Joining Instructions as appropriate
        • Create and send pre and post-work emails to delegates (through TASC)
    • Physical Events:
      • Work closely with Technical Manager and Course Managers to collect all course requirements (using automated spreadsheets)
      • Be responsible for course requirements such as stationery, printings etc...
  • Requirements:
    • Excellent communication and interpersonal skills: must have the ability to
      interface at all levels of the organization with superb customer service and timely follow up
    • Possess strong problem solving skills: must be able to evaluate, solve problems where possible and make recommendations to the necessary parties (including the L&D team as to how we can improve going forward), as well as the ability to communicate effectively with senior practitioners
    • Attention to details, diligent and independent way of working, proactive and assertive
    • Ownership of tasks: must be comfortable with minimal supervision, have the ability to prioritize tasks and meet deadlines
    • Ability to work in a virtual team probably having little or no face-to-face contact with most team members between events and still ability to take ownership for the tasks.
    • Multitasking: candidate should be comfortable with multi-tasking at a fast pace and working with an international team (entails thinking on the fly and making last minute decisions with confidence and sound rationale)
    • Digital upskilling/data analytics: comfortable in using advanced tools such as D&A, formulas in spreadsheet, Google AppScript, Power BI etc... allowing automation of data or at least strong interest to acquire knowledge of new tools & technologies to perform these data automation
    • Flexibility to travel to training sites (including over weekends punctually) if
      required
    • Work overtime when needed
    • Solid judgment and decision making logic
